How to use Denby
The help centre explains how to do each thing in Denby, step by step: setting up your firm, adding clients and contacts, sending document requests and reminders, sharing files, asking for approvals, sending invoices, and sorting out sign-in problems. Each article starts with a short answer, then gives the exact steps and settings.
Getting started
- Set up Denby in 20 minutes Set up Denby in about 20 minutes: name your firm, add your logo, pick your kind of work, add your first client and send your first document request.
- Invite your team and choose roles Invite colleagues to your Denby firm and choose what each can do: owner, admin, staff or viewer. Team members are unlimited on every plan, so invite everyone.
- Add clients and contacts Add a client and the people you work with there. Each contact signs in to the portal with a link sent to their email. Archive clients when the work is done.
- Add your logo, colour and welcome message Add your logo, choose your portal colour and write the welcome message clients see. Denby makes a favicon from your logo and checks your colour is readable.
- Connect your own domain Serve your client portal at your own address, such as clients.yourfirm.com. Add one CNAME and two TXT records; Denby issues the certificate and checks weekly.
Working with clients
- Send a document request Ask a client for documents with a checklist: one item per document, a due date and automatic reminders. Review each file as it arrives and ask again.
- How automatic reminders work Denby reminds clients about missing documents on day 2, 5, 9 and 14 at 9am their time, never at weekends, at most once a day, and stops when all is received.
- Share files with clients Upload files to a client's page, organise them in folders, choose what the client sees, keep versions together, download as a zip and restore deleted files.
- Message clients Message clients from their portal page instead of email. Attach files, start separate conversations per project, and choose which message emails you receive.
- Send something for approval Send a scope, quote or design for approval. The client approves with their typed name or asks for changes, and Denby issues a PDF certificate of the decision.
- Send an invoice Create an invoice with line items, a currency and a due date, then send it to the client's portal with your own Stripe, PayPal or Wise payment link.
- Build and publish an intake form Build an intake form with text, choices, dates and file uploads. Publish it at a public link or in every client's portal, and turn new answers into clients.
Account and troubleshooting
- A client can't sign in Fix client sign-in problems: expired or used links, emails in spam, the wrong address, archived clients and removed contacts. Clients never need a password.
- Turn on two-step sign-in Protect your Denby account with two-step sign-in: scan a QR code with an authenticator app, save your backup codes and enter a code. Required for paid owners.
- Plans and billing How Denby billing works: the 14-day trial, choosing and changing plans, updating payment details, failed payments, cancelling and read-only access to data.
- Export your data or delete your firm Download every file and a JSON manifest of your clients, requests, messages and invoices, or delete your firm with a typed confirmation. Final after 30 days.
