Send a document request

A document request is a checklist you send a client, with one item for each thing you need. Go to Requests, select New request, choose the client, list what you need, add a due date and select Send request. The client uploads against each item, and Denby reminds them until everything has arrived.

Create the request

  1. Go to Requests and select New request, or select New request on a client’s page.
  2. Choose the Client.
  3. Choose a template under Start from a template, or start with a blank request.
  4. Enter a Title. The client sees it in the email subject, so make it specific, like “Documents for the Q3 brand refresh”.
  5. Add an optional Message that explains why you need these things.
  6. Set a Due date.
  7. Under What you need, add one item per document. Untick Required for anything optional, and add a Note for the client where there’s any doubt about what counts.
  8. Select Send request.

To reuse the list, tick Save as a template and give it a Template name.

Writing items clients complete quickly

Write each item in the client’s words, not your shorthand: “Your passport, the photo page” rather than “ID”. One item per document: three bank accounts are three items. The guide to stop chasing clients for documents has more examples.

Review what arrives

Each file lands on its item, and the item shows Received. Open it and select Approve, or Request again with a note saying what’s wrong, such as “This is August’s statement; we need September’s”. Only that item reopens, and the client gets one clear email about it.

When every required item has arrived, the request is complete and pending reminders stop.
