How automatic reminders work
Denby emails clients about outstanding items on day 2, 5, 9 and 14 after you send a request. Reminders go at 9am in the client's time zone, never at weekends, and never more than once a day. Each lists only what's still missing, and they stop the moment the last required item arrives.
The default schedule
- Day 2: a short nudge listing what’s still needed.
- Day 5: a reminder that mentions the due date.
- Day 9: a firmer reminder. It says the request is overdue only if the due date has actually passed.
- Day 14: a last automatic reminder, inviting the client to reply if something’s in the way.
After the last reminder, Denby stops. If the list still isn’t complete, that usually means a conversation is needed.
Rules every reminder follows
- Sent at 9am in the client’s own time zone, which Denby learns when they open their portal.
- Never on a Saturday or Sunday; a weekend reminder moves to Monday.
- At most one email a day to a contact, however many requests are open. Several requests are combined into one email.
- Only outstanding items are listed, never things already received.
Change the schedule for a request
On the request’s page, the Reminders panel shows each scheduled reminder. You can:
- choose a different Schedule, or enter your own days after sending, separated by commas;
- turn Automatic reminders off for this request;
- select Send reminder now to send one immediately (it still counts toward the one-a-day limit).
When reminders stop
Reminders stop when every required item has arrived, when you turn them off, or when the request is deleted. If you ask for an item again, reminders resume for that item only.
