Client portal software for real estate agents
Denby is a real estate client portal for agents, brokers and property finders. Each buyer or seller gets one page where they provide ID, proof of funds and signed disclosures, approve offers and terms, and see every document for their transaction, so nothing that holds up a completion sits in an unread email.
What real estate agents use Denby for
Onboarding checks
Ask each buyer for photo ID, proof of address and proof of funds in one request at instruction. Reminders run until it's complete.
Seller disclosures
Collect the property information form, fixtures and fittings list, certificates and guarantees before the listing goes live.
Offers and terms
Put offer terms or your fee agreement up for approval. The client's typed name, the time and the exact terms are recorded.
The transaction file
Keep surveys, searches and correspondence in one place per client, so anyone on your team can answer 'where are we?'.
A request real estate agents send in their first week
This is “Buyer onboarding”, one of the templates Denby suggests. Send it as it is, or change the items to match how you work.
- Photo ID for each buyer
- Proof of address (last 3 months)
- Mortgage agreement in principle
- Proof of deposit funds
- Solicitor's contact details
- Signed terms of engagement
What real estate agents ask before switching
- We use a CRM already.
- Your CRM tracks leads and listings. Denby is what the client sees once they instruct you: a page with what you need from them and everything about their move.
- Buyers juggle several agents.
- Which is why a clear page with your name on it, and a tick list of what's left, makes you the agent who's easy to deal with.
- Proof of funds is sensitive.
- It's encrypted, visible only to that client and your team, served by short-lived links, and every download is logged.
Questions people ask
Can both buyers use the same page?
Yes. Add both buyers as contacts on the same client page. Each signs in with their own email address, uploads their own ID, and sees the same list of what's still needed, so neither has to forward documents to the other.
Can I use my agency's branding?
Yes. Every plan shows your agency's logo, colour and favicon. From Studio you can serve the portal on your own domain, such as clients.youragency.com, so buyers and sellers only ever see your agency's name.
How many clients can I have?
Solo covers five active clients, Studio 25, and Firm and Agency are unlimited. Archive clients once a sale completes: their records stay, and they stop counting straight away, so the limit tracks your live transactions.
